The Math

How does the missed call cost calculator work?

It follows one caller from the missed call to the lost job, using five numbers from your business:

  • Missed calls a month: your weekly figure times 52, divided by 12.
  • Callers lost: the share of those who never call back. The rest reach you later, so they are not counted.
  • Jobs lost: the share of lost callers who would have booked if you had answered.
  • Revenue lost: jobs lost times your average job value.
  • Profit lost: revenue lost times the share of each job you keep.

With the example numbers, 5 missed calls a week is about 22 a month. About 15 of those callers never call back, about 6 of them would have booked, and at $300 a job that is roughly $1,800 in revenue and $900 in profit a month.

Profit is the number to compare with a monthly bill. Revenue includes the materials and labor you would have paid for, so it overstates what each missed call takes out of your pocket. Revenue shows the size of the leak; profit shows whether fixing it pays.

Finding your own numbers

Your phone system, carrier app, or business line's call history lists missed calls. Count two ordinary weeks, not a holiday or your busiest week, and leave out spam, wrong numbers, and anyone you called back. For the booking rate, think about the last 20 new callers you spoke to and how many became jobs.

What the calculator leaves out makes the real figure higher, not lower: repeat customers, service plans, and referrals. If a typical customer is worth several jobs over a few years, treat the result as the floor.

2
Industry Figures

What do industry figures say about missed calls?

The measured figures all point the same way: a lot of calls go unanswered, and most of them are never recovered.

  • 14% to 44% of calls go unanswered in call data published in 2025 and 2026, depending on who measured.
  • 42% of consumers say they leave a voicemail when a business does not answer, in a 2025 CallRail survey, so most do not.
  • 69% of missed calls get no callback within 48 hours, in Quo's data on 16.7 million missed business calls.

Two figures quoted almost everywhere have no study behind them that we could find: that 80% of callers will not leave a voicemail, and that 85% of missed callers never call back. That is why the calculator's 70% for callers who never call back is an example, not a statistic. Check it against your own log: look at how many of last month's missed numbers ever called again.

3
The Pattern

When do small businesses miss the most calls?

  • After hours and weekends. Often the calls with the most urgent problems behind them.
  • On a job. On a roof, under a sink, driving between sites, or with a customer in front of you.
  • The second call. The line is busy, so the next caller gets voicemail.
  • Lunch, admin, and quoting time. Short gaps that add up over a week.
  • The seasonal rush. The first cold snap, a storm, or spring start-up, when call volume jumps and everyone is out on jobs.

The fix depends on which kind you miss. After-hours calls need something that answers on its own. Daytime overflow needs something that picks up only when you cannot. Most AI receptionists can do the second: HighLevel's agent has a backup setting that rings your team first, and both Housecall Pro CSR AI and Reception.ai can take only the calls your phone forwards when nobody answers.

Before You Buy

What can you try before paying for an AI receptionist?

If the calculator shows a small number, one of these may be all you need:

  • A better voicemail greeting. Say when you will call back and invite callers to text instead. It costs nothing.
  • An automatic text when you miss a call. Many phone systems and CRMs can send one the moment a call goes unanswered, which keeps some callers from moving on.
  • A call-back routine. Return every missed call within the hour. Speed matters more than the script.
  • A person on backup. A family member, an office partner, or a human answering service. See how a human service compares in our AI vs human answering service guide.

If the calculator shows a big number, these still help, but they all leave the caller waiting for someone to get back to them. An AI receptionist answers while the caller is still on the line, and can book the job before they try the next number on the list.

The Other Side of the Math

What does it cost to answer every missed call?

Here is what the five AI receptionists we review cost for about 100 calls a month, on their published prices:

AI receptionistHow it billsAbout 100 calls a monthFull review
Jobber AI Receptionist$29 add-on to a Jobber plan, per conversation beyond the allowance$58 to $113, including Jobber's Core planJobber review
Housecall Pro CSR AIAdd-on to a paid plan, price on requestNot publishedCSR AI review
Reception.aiMonthly plan with credits, one per phone minuteAbout $89Reception.ai review
HighLevel AI Voice AgentPlatform subscription plus per-minute AI or a flat AI plan, plus phone charges$120 to $166, including the platformHighLevel review
ElevenAgentsPlan minutes, then per minute, plus AI model and phone charges$28 to $41ElevenLabs review

100 calls at three minutes each, a US local number, regular prices without introductory discounts, checked October 19, 2026. The workings for each figure are in our AI voice agent pricing comparison.

If the AI only picks up the calls you miss, use your missed calls a month from the calculator, not your total calls. At a few missed calls a day you are well inside these figures; well above 100 a month, per-minute and per-credit plans cost more, and the pricing comparison shows the rates. For comparison, a human answering service such as PATLive costs about $479 a month for 300 minutes.

The Jobber and HighLevel figures include the software itself, so if you already pay for it, answering missed calls adds only the AI part. Setup time, phone charges, and what else can raise the bill are covered in how much an AI receptionist costs.

You also want to follow up callers who don't book

The voice agent plus texts, a pipeline, and reminders in one place. Start with the 30-day HighLevel trial.

You're technical and want the lowest running cost

You build it yourself, from a few dollars a month. See ElevenAgents.

Not sure which fits how you work? Compare all five in the best AI voice agents for small business.

The bottom line: a missed call costs you the job it would have become, and most missed callers do not call back. Count your own missed calls for two weeks, run them through the calculator, and compare the profit you lose with roughly $28 to $166 a month for an AI receptionist. If the gap is small, fix your voicemail and call-back routine first. If it is large, the right AI receptionist is the one that books into the system you already use.

Common Questions

Frequently Asked Questions

Use your phone system's or carrier app's call history. Count two ordinary weeks, not a holiday or your busiest week, and leave out spam, wrong numbers, and anyone you called back the same day. Divide by two for a weekly figure. If your phone system can show missed calls by hour, note when they cluster, since that tells you which fix fits best.
They are examples to replace with your own. No reliable study measures how many missed callers never call back, so the 70 percent is an illustration rather than an industry figure. The 40 percent booking rate sits close to ServiceTitan's data on trade businesses, which booked about 42 percent of calls on average. The job value and profit margin vary too much by business to have a typical figure.
Profit, when you compare it with a monthly bill. Revenue includes the materials and labor you would have paid for to do the job, so it overstates what a missed call takes out of your pocket. The calculator shows both: revenue for the size of the leak, and profit for whether fixing it pays.
Sometimes. A text sent the moment you miss a call keeps some callers from moving on, and many phone systems and CRMs can send one for little or nothing. It works best for callers who can wait. Someone with an urgent problem usually wants an answer now, which is where an AI receptionist that picks up and books the job does better.
Yes, with most of them. HighLevel's agent has a backup setting that rings your team first, Reception.ai can answer after your own phone, and Housecall Pro's CSR AI works as a backup through your carrier's forward-on-no-answer option. That way it only handles the calls you would otherwise have missed, and your team still answers the rest.
Often, yes. The calculator counts one job per lost caller, which understates the loss for businesses with repeat customers, service plans, or referrals. If a typical customer is worth several jobs over a few years, raise the average job value to reflect that, or treat the calculator's result as the floor.
